Job Description

VetsEZ is seeking a Project Coordinator to support the Department of Veterans Affairs (VA). This person will support the Department of Veterans Affairs (VA) Health Middleware and Data Management (HMDM) contract. The Project Coordinator is responsible for tracking, managing, and ensuring timely submission of all contract deliverables in compliance with client agreements and internal standards. This role serves as the central point of contact between internal teams, subcontractors, and clients to ensure contractual obligations are met, properly documented, and archived.

The candidate must reside within the continental US.

Responsibilities:

  • Monitor and track all deliverables outlined in client contracts, subcontracts, and Performance Work Statement (PWS).
  • Maintain a deliverables calendar and ensure all deadlines are met.
  • Collect, review, and format deliverable materials for accuracy, completeness, and compliance with contract requirements.
  • Coordinate with project managers, technical teams, and subject matter experts to gather necessary inputs.
  • Submit deliverables to clients through required systems (portals, email, or other methods).
  • Maintain detailed records of submissions, approvals, and feedback for audit and compliance purposes.
  • Communicate deliverable requirements and status updates to stakeholders proactively.
  • Assist in preparing progress reports, status summaries, and compliance documentation.
  • Support contract closeout by ensuring all deliverables are finalized, accepted, and archived.
  • Identify risks or issues that may impact deliverable quality or timelines and escalate as needed.
  • Organize, attend, and participate in stakeholder meetings.
  • Document and follow up on important actions and decisions from meetings.
  • Prepare necessary presentation materials for meetings.
  • Provide administrative support as needed.
  • Ensure projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Take on additional tasks as needed.

Requirements:

  • Bachelor's degree in Engineering, Computer Science, Systems, Business Administration, Contract Management, or related scientific/technical discipline is required.
  • 3+ years of experience in Information Technology related projects or education.
  • 3+ years of experience with life cycle and project management methodologies.
  • 2+ years of experience in contract administration, project coordination, or deliverables management.
  • Familiarity with government contracting, compliance standards, or regulated industries and software development is preferred.
  • Strong organizational skills with the ability to manage multiple deadlines simultaneously.
  • Excellent attention to detail and accuracy.
  • Strong leadership and customer service skills.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, SharePoint, and contract management tools.
  • Knowledge and experience with formal delivery methodologies SAFe, Agile, Scrum, etc.
  • Experience interfacing with senior-level stakeholders.
