Job Description

Summary of Position:

The role of the Events Manager is to plan, organize, and manage all aspects of private dining in the restaurant and to ensure successful execution of all events. We are looking for an experienced Events Manager who has 3-5 years of event sales/management experience in a restaurant or hotel.

Duties & Responsibilities include but are not limited to :

  • Handle private dining events on all sides from start to finish
  • Respond to all event inquiries within 24 hours of receiving them
  • Utilize the event program Tripleseat to execute contracts and BEOs through this system. Tripleseat will also be used to monitor the processing of deposits, maintain terms and conditions on the contract, and ensure contracts are signed and adhered to per our guidelines.
  • Monitor the progress of the planning and execution of each task that has to do with the event
  • Serve as the link between the event host, culinary department, and third parties
  • Conduct familiarization trips with clients
  • Host twice weekly BEO meetings with all managers, including culinary team
  • Manage the flow of operations during an event to ensure that everything operates smoothly, including setup, breakdown, activities, and tear down
  • Take ownership of the event space and conduct walk through each day to ensure it is show ready
  • Work on logistics with the GM so that the rooms are setup ahead of time for events
  • Ensure all vendors are scheduled appropriately when necessary
  • Along with the GM, ensure that all staff members are trained in their responsibilities and are familiar with the venue
  • Make sure that staff adheres to the company event policies that were put in place to ensure a smooth event
  • Create a weekly forecast that must be updated with a Week-by-Week variance so that we can see how much business has been picked up
  • Work alongside the accounting department to make sure all tracking sheets are complete and accurate
  • Send the weekly inquiry report and the daily deposits logs to ownership and the Corporate Director
  • You will be expected to work approximately 55 hours per week; some weeks will be shorter and some weeks will be longer. Your schedule will be worked out with the GM with the expectation of a 55 hour work week from 9-6 depending on if there are events. You must meet and greet all events upon arrival.
  • Develop an event management plan for events which includes comp set reporting, planned outreach with local companies and participation in the local event organization committee
  • Participate and become a member of the local event planning committee
Skill Set:
  • Customer service skills  – Working with current and future guests is a key part of the Event Manager’s position; the ability to remain professional at all times is vital to this role
  • Numerical abilities  – Intermediate understanding of various platforms including Microsoft Office Suite (Excel, Word) InDesign (for menu design) is required
  • Organization  –Event Managers need to be organized in order to be successful in this position. Having a structured daily set of duties is key
  • Physical stamina  – Working in a restaurant can be physically demanding; some of the time will be standing on your feet for long periods of time when necessary while other times will be sitting behind a desk
  • Leadership skills  –  Motivating a team and ensuring good performance from all members of the staff are key to keeping things running smoothly

Qualifications:

  • 3 Years experience in Event Planning required
  • Prior experience in customer service required
  • Excellent phone skills and communication skills
  • Must be a team player
  • High school diploma or GED equivalent required

Physical Demands: This position will be a combination of standing on your feet for periods of time and sitting at a desk for periods of time. The position may require occasional lifting of products weighing up to 20 pounds.

Position Type and Expected Hours of Work:  This position follows standard office hours (9a-6p) but schedule may fluctuate based on business needs or special occasions/holidays.

Expected Earnings:
$55,000-$60,000 annual salary plus commission
